What we keep when you ask for a chair, and how long we keep it.

Data controller

What we collect

From the enquiry form: your name, email address, the lesson you selected, a preferred month, a short note about your experience with charts, and the message you wrote. If you telephone, we may write down your name, number, and the reason for the call. If you attend, we keep a register of evenings you sat so we know who has graduated the workshop and may join a Practice Evening.

We do not ask for account numbers, national insurance numbers, copies of passports, or a list of your holdings, and you should not send them. A Chart Hour may involve you bringing a printed chart of an instrument you follow; we do not file that sheet unless you leave it behind by mistake, in which case we destroy it after 14 days if unclaimed.

Why we use it

We use enquiry details to reply, to offer dates, to take a deposit where one applies, and to run the lesson you booked. The legal bases are taking steps toward a contract and performing that contract, and our legitimate interest in running a small classroom safely (knowing who is in the room, and who has already done the six-week series). We do not sell names, and we do not send marketing newsletters unless you have asked to be told when the next Tuesday intake opens — in which case you can tell us to stop in any reply.

Retention

Unsuccessful enquiries (you did not book) are deleted after 12 months. Booking records, attendance, and invoices are kept for six years after the last lesson, which matches how long we may need them for accounting and disputes. Cookie preference storage lives on your device; see the cookies page.

Who else sees it

Helen reads the mailbox. An accountant may see invoices. If the law requires us to share information (for example a court order), we will. The enquiry form on this static site posts to a mock endpoint for demonstration of the page; when you write in production you should treat email to info@config-mapcore.digital as the durable copy. We do not pass your details to brokers, signal sellers, or “partner” platforms.

International transfers

The practice is in the United Kingdom. Email and site hosting may store copies on servers outside the United Kingdom. Where that happens we rely on the host’s appropriate safeguards (such as a UK adequacy finding or standard contractual clauses). We do not upload class registers to public drives.

Your rights

Under United Kingdom data protection law you may ask for a copy of the personal data we hold, ask us to correct it, ask us to delete it where we have no need to keep it, object to legitimate-interest processing, and ask us to restrict processing in the situations the law allows. You may also complain to the Information Commissioner’s Office. Write to us first at the email above; we will answer within one month unless the request is complex.

Children

Lessons are for adults. We do not knowingly collect data about anyone under eighteen. If you believe we have, write to us and we will delete it.
